The best appointment scheduling software for small businesses is the tool that fits the work behind each appointment. A consultant arranging video calls needs a different system from a salon coordinating stylists, service durations and checkout. A long feature list is less useful than a booking journey that customers can complete and staff can trust.

This guide provides a practical shortlist and a repeatable evaluation process. Start with the kind of appointment you sell, then compare the cost of running that workflow at your expected volume. The right choice may be a simple meeting scheduler, a service booking platform or a specialist business system.

Editorial approach and disclosure: Accurate Scheduler publishes this comparison and is one of the products reviewed. Recommendations reflect official product and pricing information, not a scored hands-on benchmark. Sources were checked on October 14, 2026. Prices exclude taxes, payment processing, optional add-ons and temporary promotions unless stated. US dollar prices are reference prices, not promises of availability or converted local rates.

What do 1, 3 and 5 staff members cost?

These examples compare subscription arithmetic, not equivalent feature packages. Assume one business, one location and one independently bookable person per paid seat or calendar, unless the row says otherwise. Fixed account plans use the same total booking volume for every headcount. No savings percentages are claimed.

Monthly-billed examples are marked monthly. Calendly and Cal.com rows use annual monthly equivalents because those rates were verified; they should not be interpreted as month-to-month bills. No exchange rates are applied. Payment fees, SMS overages, hardware, tax, marketplace charges and add-ons are excluded.

Free-tier alternatives: Setmore can cover one or three users for US$0 if its Free features are sufficient; five users exceed its free staff allowance. Accurate Scheduler allows unlimited staff in Free, but its 60-appointment and 100-customer limits still apply. Calendly, Cal.com and Zoho individual free tiers are not substitutes for a shared paid team workflow.

Volume changes the result: a five-person team taking 500 monthly bookings would exceed the SimplyBook.me Basic allowance used above. SuperSaaS capacity depends on the future appointments held simultaneously, whereas Accurate Scheduler Starter uses a monthly allowance. Microsoft Bookings is excluded from staff multiplication because existing licenses, bookable staff records and organizer licensing are different units.

Best appointment scheduling software for small businesses: detailed reviews

1. Accurate Scheduler — service businesses growing a team

Accurate Scheduler is a practical shortlist choice for businesses that want a booking website, staff schedules and a service-based customer journey. Its configured Free features include payments, extras, coupons, multiple quantity and multi-service booking. Multiple Quantity and Multi-Service cannot be active together. Paid adds Google Calendar, Google Meet, Zoom and industry themes. Test the booking workflow with your own service durations and capacity rules. It is not a substitute for specialist medical records, salon inventory or enterprise procurement requirements. Pricing here reflects the website configuration; confirm the application checkout before subscribing.

  • Verified pricing: Starter: US$3/month or US$30/year.
  • Staff allowance: Unlimited staff and services in the current website configuration.
  • Booking allowance: Free: 60 appointments (period not specified); Starter: 400/month.
  • Watch before buying: Starter allows 400 appointments/month; calendar and meeting integrations require Paid.

2. Calendly — consultants and sales meeting scheduling

Calendly suits businesses where appointments are meetings with a named host rather than a service checkout. Standard expands event types and calendar connections and adds reminders and payment integrations. Teams adds routing and round-robin distribution. A solo consultant may find Free sufficient for one appointment type, while a sales team should evaluate Teams rather than comparing only the entry price. Each licensed host affects subscription cost. Do not assume Standard provides the same team-assignment workflow as a shared service calendar.

  • Verified pricing: Standard: US$10/seat/month, billed yearly.
  • Staff allowance: Paid seats scale with meeting hosts.
  • Booking allowance: Unlimited meetings; Free restricts event types and calendar connections.
  • Watch before buying: Round-robin scheduling requires Teams.

A useful trial question is whether a prospective customer can distinguish an introductory call from a paid session. If that requires multiple public booking choices, assess the appropriate plan rather than judging the product only by a single default link.

3. SuperSaaS — resources, classes and flexible booking rules

SuperSaaS is useful when the scheduling model itself is complex: resources, classes, capacities or combined availability. Its subscription changes with the number of future appointments held at once. Completed appointments release that capacity, so 100 upcoming appointments does not mean 100 bookings per month. The free version is intended for light and non-commercial use. Assess how far ahead customers book before selecting a package. Its flexibility is valuable, but configure and test the rules carefully rather than treating every schedule as a simple meeting link.

  • Verified pricing: US$9/month.
  • Staff allowance: Unlimited staff, schedules and locations on paid plans.
  • Booking allowance: Upcoming capacity, not a monthly booking allowance.
  • Watch before buying: Entry paid package holds 100 upcoming appointments; Free has ads and no calendar sync.

4. SimplyBook.me — businesses needing booking-site feature options

SimplyBook.me combines a booking website and widget with a selection of configurable business features. The important decision is not just how many providers you have: booking volume and the number of enabled custom features also determine the tier. Basic can accommodate five providers, but its 100-booking allowance may be restrictive for a busy team. List every required feature before selecting a plan, including payments and integrations. Standard and Premium increase both volume and feature allowances. This makes it a useful option for businesses willing to configure a modular booking system.

  • Verified pricing: Basic: US$11.90/month, billed yearly; US$13.90 monthly.
  • Staff allowance: Free 1; Basic 5; Standard 15; Premium 30 providers.
  • Booking allowance: 50 / 100 / 500 / 2,000 monthly by tier.
  • Watch before buying: Basic: 100 bookings, five providers, three custom features.

Write a configuration checklist before opening the account. Mark each requirement as essential, useful or optional. This helps prevent attractive add-ons from displacing the basic task: a customer should understand what to book and receive an accurate appointment.

5. Setmore — small teams seeking a substantial free tier

Setmore deserves consideration when a team needs online appointments and payments without a subscription for its first four users. Free includes email confirmations and reminders; Pro adds two-way calendar sync, recurring appointments and video appointments. The current web plan charges for every Pro user, so upgrading a three-person team is not a single-user subscription. SMS credits and country availability require separate checks. Compare the current web pricing rather than older mobile subscription tables, which can show different plan names and bundles.

  • Verified pricing: Pro: US$5/user/month yearly; US$12 monthly.
  • Staff allowance: Free up to 4; Pro supports more users charged individually.
  • Booking allowance: Unlimited appointments on both listed plans.
  • Watch before buying: Two-way calendar sync, SMS and recurring bookings are Pro features.

Use the trial to assign services to actual roles rather than creating identical sample staff. A business with different qualifications needs the booking journey to show the right provider for the right service. Confirm that the final customer experience matches those assignments.

6. Acuity Scheduling — service appointments with intake forms

Acuity is a strong candidate when intake questions, payment collection and appointment automation matter more than a basic meeting link. Plans include services, reminders and payment integrations. The calendar allowance drives the staff-cost comparison: one practitioner fits Starter, while three or five separate staff calendars fit Standard. Some customization and regulated-use options require Premium. Verify the particular healthcare configuration and agreement if relevant; a scheduling tool should not be treated as a clinical records system simply because it offers intake forms.

  • Verified pricing: Starter: US$16/month yearly; US$20 monthly.
  • Staff allowance: 1 / 6 / 36 calendars by tier; calendars can represent staff or locations.
  • Booking allowance: Unlimited appointments and services.
  • Watch before buying: Starter has one calendar; Standard allows six.

For example, a business selling a block of sessions should test how the first and last session are booked, what customers see about remaining entitlement and how a cancellation affects the balance. These are evaluation questions, not assumptions about every vendor’s implementation.

7. Square Appointments — businesses already using square payments and pos

Square Appointments is worth testing if checkout, point of sale and booking need to work together. The current US page uses Square Free, Plus and Premium, with Plus priced per location. This differs from older staff-count pricing descriptions. Processing charges are part of the buying decision even when the subscription is free. UK, Canadian and Australian businesses should use their own regional Square page and availability. Its integrated payments can simplify operations, but that is a different evaluation from choosing an independent booking form.

  • Verified pricing: Square Plus: US$49/location/month.
  • Staff allowance: US comparison lists unlimited calendars; location charges are separate.
  • Booking allowance: No numeric booking cap stated in the checked US table.
  • Watch before buying: Regional plans differ; payment costs remain on Free.

8. Zoho Bookings — businesses using the zoho ecosystem

Zoho Bookings is a sensible shortlist option for teams already working with Zoho products. Basic supports more event types and collective bookings, while Premium is the relevant tier for group and resource workflows. The Free plan is for one user. Check workspace and resource add-ons as well as seats, because a room-based workflow can cost more than the headline user price. Zoho publishes localized currencies; buyers in the UK, Europe and Canada should compare the local checkout rather than converting the US rate themselves.

  • Verified pricing: Basic: US$6/user/month yearly; US$8 monthly.
  • Staff allowance: Free 1 user; paid priced per user.
  • Booking allowance: No numeric appointment cap specified in the checked comparison.
  • Watch before buying: Group and resource bookings require Premium; resource add-ons extra.

9. Cal.com — individuals and teams wanting configurable meeting scheduling

Cal.com offers a generous individual plan and paid collaboration features. Teams adds shared availability, round-robin scheduling, routing forms and managed event types. It is a good candidate when a team needs to control meeting assignment rather than offer a retail-style service checkout. Enterprise and organization controls are separate tiers. Hosted subscription pricing should not be confused with the total cost of operating a self-hosted deployment: hosting, maintenance and support still need an owner.

  • Verified pricing: Teams: US$12/user/month, billed yearly.
  • Staff allowance: Individual is one user; team seats billed individually.
  • Booking allowance: Unlimited meetings in the listed feature comparison.
  • Watch before buying: Shared team, routing and round-robin workflows require paid plans.

10. Fresha — beauty and wellness businesses considering a marketplace

Fresha combines appointments with beauty and wellness business functions and a customer marketplace. The official US-indexed pricing lists Independent and Team subscriptions, while a direct visit from India displays different local terms. Consequently, a claim that Fresha is universally free would be misleading. Check your business-country pricing, messaging allowance and any marketplace acquisition charge before comparing costs. Inventory, memberships and team tools can be useful for a salon, but the subscription alone is not the full operating cost.

  • Verified pricing: US listing: Independent US$19.95/month; Team US$14.95/bookable member/month.
  • Staff allowance: Independent 1; Team billed by bookable member.
  • Booking allowance: Unlimited bookings described in official pricing FAQ.
  • Watch before buying: Prices are regional; India rendering differs from US source listing.

11. Booksy — beauty professionals wanting a booking marketplace

Booksy suits beauty professionals who want booking, customer management and a marketplace in one system. Its core subscription includes the listed features, with extra users increasing the bill. Boost is an optional acquisition mechanism, and its first-visit fee should be evaluated separately from subscription and card processing costs. Compare whether marketplace discovery is valuable for your location and clientele. The base price can be reasonable for a solo provider, but it is not the cost of a five-person business.

  • Verified pricing: US$29.99/month plus tax.
  • Staff allowance: One included; extra users US$20 each/month.
  • Booking allowance: Unlimited bookings.
  • Watch before buying: Optional Boost charges 30% of a new Boost client’s first visit.

12. Vagaro — salons and wellness businesses needing wider operations tools

Vagaro is an operations-oriented option for salons, wellness and fitness businesses. It includes booking alongside inventory, memberships and client-management functions. The price displayed at review time includes a temporary introductory rate, so this guide uses the standard US$30 base for ongoing cost examples. Additional calendars and optional tools affect the total. A business needing shopping-cart deposits or forms should check those add-ons explicitly. Regional base prices and extra-calendar charges differ in Canada, the UK and Australia.

  • Verified pricing: US standard base US$30/month; displayed introductory US$23.99 for six months.
  • Staff allowance: One calendar included; US$10 each extra up to seven paid licenses.
  • Booking allowance: No numeric appointment cap stated on checked pricing page.
  • Watch before buying: Forms, shopping cart and other add-ons can increase cost.

13. YouCanBookMe — customizable booking pages for individuals and teams

YouCanBookMe focuses on configurable booking pages, availability and communications. Its help-center pricing gives explicit paid amounts, while the live pricing page can render zero placeholders before prices load. This guide uses the official help-center amounts rather than interpreting those placeholders as free paid plans. Individual and Professional are for individual use; Teams provides member administration and shared booking. Check live checkout before subscribing, especially where current calendar and page allowances differ from older help-center tables.

  • Verified pricing: Individual: US$9/month; US$8.10/month yearly.
  • Staff allowance: Individual plans are not shared staff subscriptions; Teams billed per member.
  • Booking allowance: No numeric booking cap verified on checked pricing/help pages.
  • Watch before buying: Team administration requires Teams; SMS can add costs.

14. Microsoft Bookings — organizations already licensed for microsoft 365

Microsoft Bookings is attractive when a business already pays for a qualifying Microsoft 365 subscription. Its scheduling capabilities can avoid buying a separate meeting-booking product, subject to tenant access and plan eligibility. The quoted price buys a wider productivity subscription; it is not an extra Bookings charge. Staff records and paid licenses are not interchangeable units, so this guide does not multiply the price by every bookable staff member. Verify organizer licensing, tenant policy and the need for Teams with your administrator.

  • Verified pricing: US Business Basic without Teams: US$5.40/user/month yearly; with Teams US$7 yearly.
  • Staff allowance: Business Basic supports up to 300 licensed users; booking staff is not necessarily the licensed-seat count.
  • Booking allowance: No numeric monthly booking cap verified from the checked product page.
  • Watch before buying: Licensing and organization settings determine access; not a POS substitute.

15. Appointy — businesses combining appointments and classes

Appointy provides an entry free plan for a solo business and paid tiers for more scheduling functions. Growth remains a one-staff plan; Professional is the appropriate published tier for three or five staff in this comparison. Paid booking volume is subject to fair usage, so unlimited should not be read as a guarantee of unrestricted throughput. Check the required class, resource and payment workflow against the plan table before committing. Its free tier is useful for testing five services at modest monthly volume.

  • Verified pricing: Growth: US$19.99/month yearly; US$29.99 monthly.
  • Staff allowance: Free/Growth 1; Professional 5 included.
  • Booking allowance: Free 100/month; paid unlimited subject to fair-use policy.
  • Watch before buying: Growth includes one staff; Professional includes five.

Already working in Google Calendar?

Google Calendar: investigate when the calendar is already central

Google offers appointment schedules that turn availability into a shareable booking page. Account eligibility and premium features vary. This option deserves consideration when a person already works in Google Calendar and wants a direct booking route without introducing a separate service-management process.

Try an external guest booking from another account. The important question is not whether the owner can see the event, but whether the guest receives clear timing, location and change instructions. Our Google Calendar scheduling guide explains the distinction between a booking page and calendar synchronization.

Define the appointment before comparing software

Write down one ordinary booking from beginning to end. Include the service name, expected duration, eligible staff, delivery location, information required before arrival, payment arrangement and change policy. Then describe an awkward booking: a holiday, a longer service, a returning customer changing time or a visitor in another timezone.

Separate the customer-facing duration from the occupied working time. A 45-minute appointment may need 15 minutes for preparation or notes. Advertising every 45-minute gap without accounting for that work can create a schedule that looks efficient and runs late all day.

Decide whether the system must also reserve rooms, equipment or seats. Staff availability alone does not prove a shared resource is free. If those dependencies matter, require a live demonstration of two competing bookings for the same resource. A marketing claim about flexible scheduling is not enough.

Compare total cost using your own volume

Create a small worksheet with monthly appointment volume, active staff, locations, required paid features, message usage and payment volume. Record the subscription basis for each candidate: per user, per location, monthly booking allowance or another measure. Do not put different units in the same column without explaining them.

Use two scenarios. The first represents a normal month; the second represents your busiest plausible month. Include the time needed to administer bookings, maintain integrations and help customers. That operating time is a planning estimate, not a promised saving from a vendor.

Suppose a workflow saves an estimated four minutes on each of 120 bookings. That is 480 minutes, or eight hours, before allowing for setup and exception handling. If you use this illustration, replace both inputs with observations from your own trial. The value depends on what the team actually does with the time recovered.

Choosing in the USA, UK, Europe, Canada and Australia

Use the vendor’s local pricing page and checkout. USD, GBP, EUR, CAD and AUD figures are not interchangeable, and tax treatment can change the amount paid. Confirm payment-provider availability, supported currencies, SMS delivery, time-zone presentation and the language your customers need.

For international consultations, test a booking across two time zones and a daylight-saving transition. For clinics or other regulated businesses, assess the required contract, data handling and specialist workflow separately; this comparison does not establish regulatory suitability. Do not put sensitive records into a general booking form without that assessment.

Explore practical examples for beauty and wellness, healthcare, fitness and consultants. Our salon software guide and coaching and consultant guide focus on those narrower workflows.

Accurate Scheduler customer booking screen with service categories, prices and durations
Actual Accurate Scheduler demo booking interface. Service details shown are demo configuration, not subscription prices.

Run a structured trial instead of a casual demo

  1. Create three representative services and assign the correct staff.
  2. Add realistic working hours, breaks and a holiday.
  3. Book from a phone using a separate customer identity.
  4. Test two customers trying to choose the same time.
  5. Change or cancel a booking through the supported customer route.
  6. Verify payment and notification outcomes in the appropriate test environment.
  7. Ask a colleague to complete the booking without instructions.

Keep notes about what happened, not only whether the page looked polished. A booking that requires a staff member to repair it manually is a different outcome from one that reaches the correct calendar without intervention. Repeat important failures after changing the configuration.

Choose a manageable rollout

Start with one service or one staff group. Keep a single authoritative calendar during the transition, and make someone responsible for entering telephone bookings immediately. Running two independent booking systems against the same availability is an avoidable source of confusion.

Keep your previous schedule available until existing appointments and customer changes have been reconciled. Confirm whether data export, imports and message history are available before cancelling the old account. Migration is a business process, not just a change of website button.

For more specific evaluation scenarios, explore our guides for salons, spas, personal trainers, coaches and consultants, and pet groomers.

Turn your shortlist into a decision record

For a hypothetical two-person service business, write down three non-negotiables: customers choose the correct service, both staff calendars stay accurate, and changes reach the right person. Give each candidate the same test. Mark the outcome as passed, failed or still unverified; a promise in a demo is not a passed test.

Separate small business booking tools by the work they replace. A service scheduling software trial should include customer corrections as well as new reservations. Use our manual booking comparison to estimate the work involved, then follow the booking-system setup guide once you have a workable shortlist.

Frequently asked questions

Is a free plan enough for a small business?

It can be, provided it covers your real workflow and volume. Count the staff, service choices, calendar connections and appointment allowance you need. Compare the ongoing free tier rather than the temporary features shown during a trial.

Should I choose an industry-specific system?

Choose one when its specialist functions solve a real requirement. Pet records, salon inventory or membership billing may justify a dedicated system. If your need is primarily service appointments, a general booking platform may be easier to operate.

Which tool is best overall?

There is no defensible single winner for every small business. Pick the candidate that passes your essential scenarios at a sustainable cost and that your team can maintain. A clear fit is more valuable than a large list of features nobody uses.

Which scheduling platforms have a genuine free plan?

The checked pages list ongoing free options for Accurate Scheduler, Calendly, SuperSaaS, SimplyBook.me, Setmore, Zoho Bookings, Cal.com, YouCanBookMe, Appointy and US Square Free. Their limits differ. Acuity, Booksy and Vagaro list trials rather than ongoing free subscriptions. Fresha’s terms must be checked for the business country.

Does unlimited appointments mean unlimited staff?

No. Booking volume, staff seats, connected calendars and locations are separate allowances. An unlimited-booking plan can still charge for every host, while a fixed account plan can allow unlimited staff but restrict booking capacity.

Is the cheapest starting price the cheapest team option?

Not necessarily. Calculate the eligible plan for your team and booking volume, then add required integrations, messaging and payment charges. Use the same billing commitment when comparing totals. A solo entry plan is not a valid five-person quote.

What does Accurate Scheduler Free include?

The current website configuration lists 60 appointments, up to 100 customers and unlimited staff and services. Its period is not labelled monthly, so this guide does not assume a monthly reset. Payments and booking add-ons are included; Google Calendar, Google Meet, Zoom and 50+ industry themes are Paid features. Confirm the live application allowance and checkout before committing.

Can I embed a booking form in my existing website?

Several reviewed platforms provide an embed or widget. Check the supported website platform and customization for the particular plan. Accurate Scheduler offers a popup button and a frame; see the setup documentation and test your own website before rollout.

Try a service booking workflow with Accurate Scheduler

Accurate Scheduler is worth trying if your priority is service appointments, staff availability and a guided customer booking journey. Review the features, compare current plans and explore the live industry demos before choosing.

If you are weighing a one-time licence against a subscription, compare verified lifetime scheduling plans and the operational checks to make before buying. Read the guide.
